Add an email signature in Exchange (server-side)

Takes about two minutes. Where a step says to copy your signature, use the Copy signature button in Sigture's export dialog — or your personal signature page if your team sent you one.

    Export the Outlook HTML variant (Files → HTML) — it is transport-rule safe.

    In the Exchange admin center, go to Mail flow → Rules.

  3. 3

    Add a rule: “Apply disclaimers…” → “Append the disclaimer”.

  4. 4

    Paste the signature HTML as the disclaimer text.

  5. 5

    Set fallback to “Wrap”, scope the rule (e.g. sender is inside the organization).

  6. 6

    Save. Exchange appends the signature to matching outbound mail.

Good to know

Server-side signatures can't be personalized per message by Exchange itself — use %%DisplayName%%-style AD attributes in the rule, or roll out per-user signatures from Sigture for full fidelity.

Appended disclaimers land below quoted text in long threads; per-user install avoids that.
