Add an email signature in New Outlook for Windows
Takes about two minutes. Where a step says to copy your signature, use the Copy signature button in Sigture's export dialog — or your personal signature page if your team sent you one.
- 1
Important: New Outlook's own signature box strips tables and images from a pasted signature. Set it in Outlook on the web instead — it syncs straight back to New Outlook.
- 2
Open outlook.office.com (work/school) or outlook.com (personal) and sign in with the SAME account New Outlook uses.
- 3
In Sigture, open Export and click “Copy signature”.
- 4
In Outlook on the web: Settings (gear) → Mail → Compose and reply → Email signature.
- 5
Click “+ New signature”, name it, click into the box and paste (Ctrl+V).
- 6
Choose it for new messages and replies, then click Save.
- 7
Switch back to New Outlook — the signature appears within a minute via Microsoft 365 roaming.
Good to know
Why not paste straight into New Outlook? Microsoft's New Outlook editor sanitizes pasted signatures down to text — it's a known Outlook limitation, not your signature or your copy. The web route above is the reliable path.
Want full fidelity locally and no web step? Toggle “New Outlook” OFF (top-right of the window) to use Classic Outlook, then follow the classic-Outlook guide (paste, or drop the .htm into %APPDATA%\Microsoft\Signatures).
Animations ship as GIF fallbacks and play automatically in New Outlook's Chromium renderer.
